Notifications

Each package has a Notifications tab where you create and manage automated emails sent to learners about that package. Click Add New Mail Notification to choose a type — you can have at most one notification of each type active per package (or per package/group combination).

Complete by Date and Course Completion are only available when editing notifications for the whole package. When a group administrator edits notifications scoped to their own group, only New User Assigned and Completion Reminder are offered.

New User Assigned

Sent once to a learner on the day they're assigned the package. A clear message covers:

  1. Why this course is assigned.
  2. The expectation for when to complete it.
  3. Who is assigning the course.
  4. What the learner should do if they have questions about its contents.

Completion Reminder

A recurring nudge for anyone who hasn't completed the package yet.

Choosing when it sends

  • Daily, weekly, monthly, or yearly — a fixed recurring cadence.
  • Days before due date — timed relative to each learner's due date instead of a fixed cadence.

Days before due date

Enter comma-separated day values relative to the due date. Use positive numbers for days before the due date and negative numbers for days after it — for example, 5,1,-1,-5 sends reminders 5 days and 1 day before the due date, then 1 day and 5 days after it. Due dates are calculated from the Days to Complete value for each course on the package's Courses tab. Completed packages don't receive reminders.

Assign start date filter

Limit the reminder to only people assigned on or after a specific date. Leave it blank to include everyone currently assigned.

Viewing reminder history

Saved Completion Reminder rows include a History link. Select it to open a panel on the right, titled with the notification type and timing. The newest records appear first, and each row shows the recipient's email address and the send date and time in your browser's local format. You can search by recipient email and browse 30 records per page.

History is available only for saved Completion Reminder notifications. It is not available for New User Assigned, Complete by Date, Course Completion, or a notification that has not been saved yet. Group administrators can view only the history of a group-scoped notification they administer, so its recipients belong to that group.

What the history means

A history row means the platform handed the reminder to its email service. It does not confirm delivery, opening, bouncing, or link clicks. An empty table means no linked sends were recorded. Some older reminders may be absent when they could not be matched safely to one notification.

Complete by Date

Set a single deadline by which all courses in the package should be completed. Reminder emails go out on a weekly or monthly cadence to anyone who hasn't finished, and stop once the deadline is reached. As with Completion Reminder, you can filter recipients with an assign start date.

Course Completion

Sent automatically to a learner the moment they complete the course — a confirmation that their training was recorded. This type always sends once, with no due-date logic to configure.

Customizing the message

Each notification has its own rich-text message and (for the one-time types) subject line. Use the Smart Tags menu while editing to insert placeholders — such as the learner's name, username, course name, or, for Completion Reminder, the days before the due date — which the platform fills in automatically when the email is sent.

Watch out for

Deliverability matters: if learners report missing emails, ask their IT team to allow messages from our sending domain. Reminder History does not confirm inbox delivery — see Email Delivery Status to understand the provider statuses used when checking delivery.
